WhatsApp message templates for Kenyan businesses

When Meta requires approved templates, how Kenyan sellers use them for order updates and re-engagement without sounding robotic.

18 June 2026 · 8 min read · Timi Labs

A buyer ordered Tuesday, paid via till, and went quiet. Thursday you want to send "Your parcel is out for delivery" — but they have not messaged in 48 hours. Free-form WhatsApp replies fail outside the 24-hour customer service window. Meta requires an approved message template. Kenyan sellers hit this on order updates, payment reminders, and win-back follow-ups — not on everyday "bei gani?" chats Timi handles instantly.

For inbound speed see WhatsApp Business setup. For follow-up tone see follow-up without being pushy.

Inside the 24-hour customer service window, Timi and your team reply freely — no template required. Templates are for outbound when the window closed or certain notification categories.

What makes a good template

Keep templates short and specific to your shop:

  • Business name recognizable in header or body
  • One clear fact — order status, delivery window, payment due
  • One action — "Reply if pin changed" or "Tap to chat"

Weak: Hello valued customer we have exciting news about our products.

Strong: Hi {{1}}, your order #{{2}} is out for delivery to {{3}} today. Reply if you need to change the drop-off pin.

Meta reviews templates before approval — vague marketing copy gets rejected. Allow 24–48 hours on first submissions. See Meta's template category guidelines when choosing utility vs marketing.

Three template examples for Kenyan sellers

1. Delivery dispatch (transactional)

Hi {{1}}, your order from {{2}} is on the way to {{3}}. Rider will call at the gate. Reply STOP if you did not place this order.

2. Payment reminder (utility)

Hi {{1}}, your balance of KES {{2}} for order #{{3}} is due. Pay via till {{4}}.

3. Win-back after 48h silence (marketing — stricter review)

Hi {{1}}, you asked about {{2}} on {{3}}. Still interested? Reply YES and we will hold stock for 24 hours.

Use category correctly when submitting — utility vs marketing affects approval and pricing.

Kenya-specific templates that approve faster

These patterns work for Nairobi and upcountry sellers because they state facts buyers already expect — not sales hype:

Till payment confirmation (utility)

Asante {{1}}. Tumepokea malipo ya KES {{2}} kwa order #{{3}}. Tunatuma kesho asubuhi. Reply kama pin imebadilika.

Mixed Swahili-English is fine if UTF-8 characters render clearly. Meta still reviews content, not language choice.

Same-day rider dispatch (utility)

Hi {{1}}, your {{2}} order is with rider {{3}}. ETA {{4}} to {{5}}. Call rider at {{6}} if gate is locked.

Appointment reminder for salons or viewings (utility)

Hi {{1}}, reminder: {{2}} tomorrow at {{3}} at {{4}}. Reply YES to confirm or RESCHEDULE to move.

Pair with beauty salon bookings or real estate viewing flows — the template handles outbound nudge; Timi handles inbound pricing while the 24-hour window is open.

When Meta rejects your template (and how to fix it)

Rejections usually fall into five buckets — fix the draft before resubmitting:

  • Variable mismatch — Body says {{1}} but header uses {{2}} first. Number variables sequentially; test with sample names
  • Promotional utility — "Exciting offer" in a UTILITY category. Move to MARKETING or rewrite as plain order fact
  • Missing opt-out — Marketing template with no unsubscribe language. Add "Reply STOP to opt out" on marketing sends
  • Vague body — "We have news for you" with no transaction context. Name order id, amount, or delivery window explicitly
  • URL or phone in wrong place — Links in header when policy restricts them. Put till or tracking link in body variable, not header

Most first-time Kenyan sellers get rejected once on a win-back template that reads like an ad. Rewrite as "You asked about on " with a single YES/NO action — approval odds improve.

Allow 24–48 hours on resubmit; do not blast buyers with the rejected wording from a personal thread while waiting.

Scenario scenarios above.

Timi does not bypass Meta approval — you still submit templates through Timi and wait for Meta. Timi does not send promotional blasts to numbers that never messaged you. Use follow-up etiquette for tone; use templates only when rules require structured outbound.

Mini case study: electronics shop in Industrial Area

A Nairobi electronics seller selling phone accessories was drowning in "where is my order?" messages the morning after dispatch. Inbound auto-reply handled new buyers fine, but silent buyers from Tuesday needed a rider update Wednesday without free-form text.

They submitted one utility template — order id, rider name, ETA, estate pin — and sent it from Feed when the window had closed. Over two weeks (seller-reported):

  • Fewer repeat "imefika?" messages the same day — buyers got proactive status
  • Zero template rejections after fixing one variable-order mistake on first draft
  • Handoff unchanged — complaints and wrong-item threads still went to the owner in Feed

The shop still uses Timi for every inbound "price for charger?" chat. Templates are a narrow tool for outbound status, not a replacement for the shop voice inside active threads.

Templates vs Timi auto-replies

  • Timi auto-reply: Inbound "bei gani?", stock, delivery FAQs while the 24h window is open
  • Timi nudges: Polite follow-ups on quiet qualified chats — max two, during business hours only; free-form inside the window
  • Approved templates: Outbound order updates and re-engagement after the window closes
  • Manual reply in Feed: Negotiation, complaints, custom quotes

Timi handles speed on inbound. Templates handle structured outbound when Meta rules require them. Do not copy-paste template wording into live chats — sounds robotic inside an active thread.

Setting up templates in Timi

  1. Go to Campaigns in the sidebar → Message templates
  2. Create a draft with variables like {{1}} (name), {{2}} (order id), {{3}} (pin)
  3. Submit to Meta for approval
  4. Once approved:
    • Send to one buyer from Feed when you need a structured one-off outbound
    • Send to a CRM segment from Campaigns when many buyers need the same update (e.g. dispatch day)

Rejected templates usually need clearer transaction purpose or fewer promotional adjectives — edit and resubmit.

Opt-in and restrictions

  • Do not blast promotional templates to buyers who never messaged you
  • Transactional updates to recent buyers are lower risk
  • Meta may restrict numbers with high block/report rates
  • Match follow-up etiquette — one useful nudge beats three generic blasts

Common mistakes

  • Sending promotional blasts without relationship (Meta restricts number)
  • Templates that read like ads instead of order facts
  • Forgetting 24-hour rule — wondering why free-form fails day three
  • One generic template for every scenario — buyers ignore
  • Using templates for first reply on inbound — use Timi instead
